Malaysian freelancers file Form B and pay tax on profit, so every business expense you can prove lowers your tax. Pick by need: Bukku, Financio, Xero or QuickBooks for invoicing and bookkeeping, Expensify or Money Lover for simple expense logs, and CukaiMax for personal reliefs and receipt evidence. Many freelancers pair a bookkeeping tool with a relief tracker.

Which expense apps work for Malaysian freelancers?

These tools are offered in Malaysia today. Pricing changes often, so check each vendor for current prices.

Why should freelancers track expenses?

Because you are taxed on profit, not revenue. Form B income is your business income less expenses that are wholly and exclusively incurred to earn it, then your personal reliefs come off that.

Example using the resident rates LHDN publishes for YA 2023 to YA 2025 (LHDN has not yet published a YA 2026 table) and only the RM9,000 individual relief:

No expenses claimedRM15,000 expenses claimed
Business incomeRM80,000RM80,000
Less expensesRM0RM15,000
Less individual reliefRM9,000RM9,000
Chargeable incomeRM71,000RM56,000
TaxRM3,890RM2,160

Claiming RM15,000 of supported expenses saves RM1,730 here. You can only claim what you can prove, so keep the receipt or invoice for each one. Check your own figure with the income tax calculator.

What can a freelancer deduct?

Running costs of the business are deductible. Equipment is handled differently.

  • Usually deductible: software subscriptions, the business share of internet and phone bills, coworking or office rent, advertising, professional fees, and travel to clients.
  • Not deductible: personal living costs, private use, and fines.
  • Equipment (laptop, camera, tablet): this is a capital asset, claimed through capital allowance rather than as an expense. An asset costing up to RM2,000 can be written off in full in one year as a small-value asset. Budget 2027 proposes raising that to RM3,000 from YA 2027; it is a proposal until passed.

Do not claim the same item twice. A laptop claimed as a business asset cannot also go under the RM2,500 lifestyle relief.

Do freelancers have to issue e-Invoices?

Most do not. LHDN's e-Invoice Guideline (version 4.8, 30 August 2026) exempts taxpayers with annual turnover or revenue below RM3 million, including individuals, from issuing e-Invoices and self-billed e-Invoices.

The exemption does not apply if you have a related company, joint venture, or corporate shareholder with turnover of RM3 million or more. LHDN's FAQ also says exempt taxpayers who already started can stop without applying. You can still issue e-Invoices voluntarily, for example through LHDN's free MyInvois Portal or an app such as Bukku, Financio, Xero or QuickBooks.

What does each app do well?

Bukku

A Malaysian cloud accounting app. Its site says it submits e-Invoices to LHDN and reads uploaded receipts and expense claims for you. The Launch plan is free for new businesses; paid plans add features. Best if you want invoicing and bookkeeping in one place.

Financio

A Malaysian cloud accounting app with SST return filing, LHDN e-Invoice support, an AI scan for documents and a mobile app. There is a 30-day free trial and no permanent free plan.

Xero

International cloud accounting with a Malaysian site, a mobile app and expense claims. Xero publishes a guide for setting up MyInvois. A 30-day free trial, then paid plans.

QuickBooks Online

Intuit sells a Malaysian edition of QuickBooks Online, and Intuit said in May 2025 that it had rolled out e-Invoicing to Malaysian customers. Check the vendor for current plans. QuickBooks Self-Employed, listed in older versions of this post, is not among the plans on Intuit's Malaysian site, so we removed it.

Expensify

Global expense software with receipt scanning by app, upload, email or text. It is free for individuals. Its categories are generic, so you map them to Form B yourself.

Money Lover

A budgeting app for iOS and Android. It is free to download with a paid premium upgrade. Good for separating personal and side-income spending, but it is not built for tax.

CukaiMax

CukaiMax tracks personal reliefs on your return, not business bookkeeping. You upload receipts by photo or email forwarding and it shows each relief against its LHDN cap. The Free plan includes unlimited receipt uploads, calculators and relief tracking. The Personal plan (RM99 a year) adds CSV and ZIP receipt exports, an LHDN audit-pack ZIP, email forwarding and tax-summary PDFs. It does not issue invoices or keep a profit and loss account, so pair it with a bookkeeping app if you need one. See the freelancer tax guide.

Spreadsheet

Free and flexible. Fine for a handful of transactions a month, but you must store receipts separately and nothing checks your figures.

How do I pick one?

Start from what you send clients.

  • You invoice clients or may pass RM3 million turnover: use a bookkeeping app (Bukku, Financio, Xero or QuickBooks).
  • You only need a record of costs: Expensify, Money Lover or a spreadsheet.
  • You want your personal reliefs and receipts in order for filing: CukaiMax, alongside either of the above.

How long must I keep receipts, and when is Form B due?

Keep records for at least seven years. LHDN cites sections 82 and 82A of the Income Tax Act 1967 for this.

Form B for YA 2025 was due 30 June 2026, with e-Filing allowed until 15 July 2026. LHDN has not published the 2027 programme; if it follows the same pattern, Form B for YA 2026 is due 30 June 2027 (15 July 2027 by e-Filing). See Form B guide and tax deadlines.
